What This Is

The Broadcasts module in Ferbz lets spa and wellness centre owners send a one‑off or scheduled WhatsApp message to a filtered list of Clients. Unlike the always‑on Automation journeys, a broadcast is a single, purposeful push that you control from start to finish. You compose the text, attach images or PDFs (for example a seasonal service catalogue), pick the exact date and time you want it to go out, and then hit Send.

When the broadcast is dispatched, Ferbz uses the official WhatsApp Business API (through Gupshup) to deliver the message from your business’s registered WhatsApp Business number. Every delivery, read and failure status appears instantly on the Reminders board, so you can see at a glance whether the campaign reached its audience.

The cost of each broadcast is deducted from your prepaid credit wallet – each message (including any media attachment) consumes a set number of credits, and the wallet is topped up in GBP. There is no recurring subscription; you only pay for the messages you actually send.

Because the module sits alongside Clients, Appointments, Therapists, and Automation, you can reuse the same client profiles, segmentation filters, and message templates you already use for reminders and win‑back journeys. For a spa, the most common use‑case is a seasonal WhatsApp broadcast for spa owners – a timely promotion that highlights spring facials, summer massage packages, or a winter wellness membership renewal. The broadcast can be targeted to specific client groups (e.g., those whose last booking was 60‑90 days ago, or members of a particular package) and can be scheduled to land in inboxes just before a holiday or the start of a new season.

In short, Ferbz’s Broadcasts module gives you a reliable, credit‑based way to push a single, high‑impact WhatsApp campaign to the right clients at the right time, while keeping full visibility of delivery performance on the same dashboard you use for everyday reminders and bookings.

How Spas and Wellness Centres Owners Use It

Below is a step‑by‑step walkthrough of creating a seasonal WhatsApp broadcast inside Ferbz. Imagine Serenity Spa in Brighton, a boutique centre that offers massages, facials and a “Wellness Membership” that includes ten treatments per year. Serenity wants to promote a limited‑time “Summer Glow Facial” package for the months of June and July.

  1. Log in to the Ferbz dashboard and select the Broadcasts tab from the left‑hand navigation pane.
  2. Click Create New Broadcast. A canvas opens with three main sections: Audience, Message, and Schedule.

Audience

  1. In the Audience panel, click Add Filter.
  2. Choose Clients → Last Booking Date and set the condition to “between 30 and 90 days ago”. This pulls in clients who haven’t visited recently – a perfect segment for a re‑engagement push.
  3. Add a second filter: Clients → Membership Type equals “Wellness Membership”. This narrows the list to members who are likely to appreciate a package add‑on.
  4. The right‑hand preview shows 342 clients matching both criteria. You can further refine by postcode (e.g., “BN1*” for Brighton) if you want a hyper‑local focus.

Message

  1. Switch to the Message tab. Ferbz lets you compose directly in a rich‑text editor or paste a pre‑written template.

  2. Click Insert Template and select the “Seasonal Facial Promo” template that the owner previously saved under Automation → Templates. The template reads:

    🌞 Summer Glow Alert! 🌞
    Dear {{client.first_name}},
Treat yourself to our exclusive Summer Glow Facial – 30 % off for the next 14 days. Book now and enjoy a complimentary aromatherapy upgrade.
    👉 Tap here to book: {{booking_link}}
    Offer ends 30 June.

  3. Replace the placeholder {{booking_link}} with a dynamic link generated from the New Sale flow: when a client clicks the link, a booking is pre‑filled with the “Summer Glow Facial” service. Ferbz automatically creates a short, shareable URL that also triggers the reminder clock once the booking is completed.

  4. Attach a high‑resolution image of the facial treatment by clicking Add MediaUpload Image. The file size is 450 KB, well within the API limits.

  5. Review the preview – the message shows the client’s first name, the correct discount, and the booking link.

Schedule

  1. Move to the Schedule panel. Choose Send Immediately if you want the broadcast to go out now, or set a future date. Serenity decides to send the broadcast at 09:00 GMT on 15 May, giving clients two weeks to act before the offer expires.

  2. Click Save & Review. Ferbz summarises the campaign:

    • Audience: 342 clients
    • Message size: 1 text block + 1 image (≈ 0.5 credits per message)
    • Total credit cost: 342 × 0.5 ≈ 171 credits
  3. If the wallet balance is insufficient, a banner appears prompting you to Top‑up Credits. Add £200 to the wallet, which covers the broadcast and leaves a buffer for any follow‑up reminders.

Launch

  1. Click Send Broadcast. Ferbz immediately queues the messages to the WhatsApp Business API.

Monitoring

  1. Open the Reminders board (still in the left navigation). A new row appears under Broadcasts with the label “Summer Glow Facial – 15 May”. Columns show Scheduled, Sent, Delivered, Read, and Failed.

  2. As the messages flow, the status updates in real time. After 30 minutes, the board shows:

    • Sent: 342
    • Delivered: 337
    • Read: 212
    • Failed: 5 (these clients have opted out of WhatsApp marketing; Ferbz automatically excludes them from future broadcasts)
  3. Export the delivery report by clicking Export CSV. The file includes client IDs, phone numbers, delivery timestamps, and read timestamps – useful for measuring conversion later.

Follow‑up Automation (optional)

  1. Because the broadcast used the same {{booking_link}} that triggers a New Sale, any client who books the Summer Glow Facial will automatically enroll in the “Post‑Treatment Follow‑Up” automation journey (set up under Automation). That journey will send a thank‑you reminder 24 hours after the appointment and a re‑booking prompt 28 days later, all deducted from the same credit wallet.

By following these steps, Serenity Spa has launched a targeted, seasonal WhatsApp broadcast that reaches the right clients at the perfect moment, while retaining full visibility and control over costs.

Why It Helps

Spas and wellness centres routinely lose revenue because clients forget to re‑book or are unaware of limited‑time offers. Before using Ferbz broadcasts, Serenity Spa relied on manual phone calls and paper flyers. The manual process required:

  • 2 hours of staff time each week to compile a client list in Excel,
  • 1 hour to draft a generic email,
  • 30 minutes to print and post flyers, and
  • an estimated £150 in printing costs per campaign.

After implementing the seasonal WhatsApp broadcast for spa owners, the same promotion took under 15 minutes of staff time: selecting filters, choosing a template, and scheduling the send. The credit cost of the broadcast (≈ £85 based on the 171‑credit usage) replaced the £150 printing expense, delivering a £65 net saving per campaign.

More importantly, the live delivery metrics on the Reminders board revealed a read rate of 62 % (212 of 342 clients). Historically, only about 20 % of printed flyers were recalled by clients. Within the 14‑day promotional window, Serenity recorded 27 additional bookings of the Summer Glow Facial, each averaging £120 in revenue, equating to £3,240 of incremental sales.

The automation that follows the broadcast (automatic reminder clock, post‑appointment follow‑up) further reduces manual workload: no staff need to call each client to confirm the booking, and the system automatically sends a re‑booking prompt 28 days later, which historically generated an extra 12 % of repeat visits.

In concrete terms, the broadcast saved 2 hours + 30 minutes of staff time, cut marketing spend by £65, and generated £3,240 of new revenue – a return on credit spend of roughly 38 ×. For a typical UK spa with 1,200 annual bookings, repeating a seasonal broadcast each quarter can add £10,000‑£12,000 of extra turnover while keeping administrative overhead minimal.

Questions you may have
01

Can I send a broadcast to clients who have opted out of WhatsApp marketing?

A: No. Ferbz respects each client’s opt‑out status. When a broadcast is sent, any client who has previously unsubscribed is automatically excluded, and the system records the failure as “opt‑out” on the Reminders board.

02

How do I know which clients will receive the broadcast before I send it?

A: The Audience panel shows a live count of clients matching your filters. You can also click **Preview List** to download a CSV of the exact client IDs, names and phone numbers that will be targeted.

03

What happens if my credit wallet runs out while a broadcast is in progress?

A: Ferbz checks your wallet balance before queuing the messages. If there are insufficient credits, the broadcast will not start and you will be prompted to top up. No partial sends occur.

04

Can I attach a PDF of my seasonal catalogue, and will that affect the credit cost?

A: Yes. PDFs can be attached via **Add Media**. Media attachments increase the per‑message credit consumption (e.g., a PDF adds roughly 0.2 credits). The total credit cost is calculated and displayed before you confirm the send.

05

Is there a way to schedule a broadcast to go out at a specific local time for each client’s timezone?

A: Ferbz uses the timezone set in the business’s account (UK time). If you need to stagger sends for different timezones, you can create multiple broadcasts with separate schedules, each filtered by postcode or a custom field that indicates the client’s region. ---
